Document Controller

Organica is currently looking to fill a

Document Controller

position, reporting to the Document Control Manager.


At Organica the Document Controller has responsibility for establishing and maintaining an effective document control systems, ensuring that all design documentation is accurate, up to date and accurately distributed to relevant parties.

Summary of Responsibilities

  • Assigning document numbers for engineering documents
  • Checking proper verification has been done for all documents
  • Improving the quality of documents and ensuring all documents are prepared as per Organica standards
  • Maintaining updated records of all approved documents for projects
  • Making sure that latest approved documents and drawings are available for the team
  • Compiling and controlling outgoing documents (proposals/projects) for clients/partners
  • Issuing and distributing controlled copies of information
  • Managing and maintaining a document control electronic filing system
  • Filing and supporting the team in retrieving/storing documents
  • Editing/modifying existing documents to suit new requirements
  • Helping in implementing change control processes for engineering documents
  • Maintaining and organizing folders on server to ensure easy accessibility for all colleagues
  • Generating various document control reports as required
  • Assisting in planning the weekly engineering tasks
  • Helping in coordinating the work between the team members
  • Assisting team members in routine tasks within/outside office


  • Bachelor’s Degree
  • Min. 2 years of experience in document management, document coordination, ideally in an engineering firm
  • Good skills at MS Word, MS Excel and experience with MS Project is an advantage
  • Good command of English, both written and spoken
