Responsible for the planning, coordinating, controlling, and directing activities of operational resources. Also responsible for customer interaction, communicating with the Field Technician Supervisors, and the coordination activity of jobs with Project Managers, within dedicated team and territory. Administration supports all Service Customers and all SERVICE TEAM with administration work, within dedicated team and territory.



SVC job/labour Planning

  • Coordinate service resources in your territory/team with external and internal customers
  • Schedules personnel responsibility, materials, sub-contractors and equipment based on project needs, skill sets, and availability based on Svc Tech coordinators weekly inputs or by need, FSR & SVC Op Ldr
  • Generates Work Order Documents, dispatches technicians, and notifies customers
  • Interact and communicate with all technicians to assign/dispatch technicians in the most effective and productive way
  • Review and track regular maintenance tasks leak inspection, maintenance visits, vibrations etc. and planned them according contract or need

Orders handling/Archive documentation

  • Collect check and archive all documentation for Service projects, completing the orders with purchases and job-sheet
  • Issue order confirmation for all projects and collect its confirmation from customers/ Confirm all taken orders to customer by return
  • Database and file system administration work as orders, maintenance contracts, sold units, claim reports etc.
  • Keep & maintain paperless archive job-sheets collection


  • Helps to SVC team in maintaining customer satisfaction by investigating customer concerns, routing them to the assigned staff and responding to special requests
  • Coordinates operations interaction with the Parts Sale and Acquisition (SSEs & SEs), as necessary
  • Third party work service job requisition & PO, third party arrangement (crane, transport, insulation, chemical cleaning)


  • Collect warranty claims (complete Customer Request for technical details & interacts with FSR).
  • Logs service start-up and service work requirements in job tracking system, all the related technical input, collect hand-over protocols, review warranty time
  • Orders management in Oracle, DFSD, invoice via Oracle R12 (purchase orders and delivery notes), review of spare parts availability


  • Create and track report inputs summary-service hours, amount service sales and labor absorption report weekly, report misleads
  • Review inventory in Oracle system local stock spare parts & car stock, sorting, classification, monthly check, annual report
  • Administration of all Service projects, completing the orders with purchase and job-sheet

Parts management

  • Request for Material and spare parts preparation for service techs to Part Sale & Logistic
  • Inventory check general administration work to keep right level of monthly margin
  • Quarterly administration stock check with spare parts team /compare with Oracle stock and to clear up Oracle stock with finance


  • Daily invoicing for all closed SVC projects in Oracle R12, all closed jobs with invoices by month end
  • Service protocols to be first reviewed & signed by SVC op leader than will be invoiced
  • Proper allocation of all expenses from SVC jobs (material, accommodation) on projects
  • Any invoice change, decision to be made and confirmed by SVC team leader according LOA


  • Daily invoicing for all closed SV
  • Bachelor's degree (or equivalent working experience) with experience
  • Clear and succinct communicator in English both in writing and verbally
