We are a New Private Outpatients Clinic in Harley Street Area, London and we seek a Secretary/Team Secretary to provide a high quality secretarial and administrative function to the Clinic.

Secretary/Team Secretary - Key Responsibilities:

• Provide secretarial support to a number of part-time Consultants.
• Arrange appointments; liaise with internal and external Consultants, secretaries and other parties.
• Ensure arrangements for consultations are managed effectively.
• Manage correspondence and telephone enquiries as directed.
• Ensure all paperwork, investigations and patient details are scanned into patient records prior to each consultation.
• Liaise with reception/invoicing staff to ensure all treatments requiring pre-authorisation are carried out in line with insurer's service level agreements.
• Develop strong and cooperative working relationships with external providers.
• Manage incoming communication and correspondence to ensure timely and appropriate responses.
• Manage all telephone calls with professionalism and sensitivity.
• Ensure efficient and timely invoicing of all services provided to patients.
• Provide a credit control service to ensure payment of invoices in accordance with the Clinic's terms, including liaison with insurance companies, embassies and patients.

Secretary/Team Secretary - Person Specification

Essential Criteria:

• Excellent spoken and written English.
• Exceptional secretarial skills with a high degree of accuracy and work presentation.
• A minimum of 2 years previous experience in a secretarial role.
• GCSE's in English Language and Mathematics (or equivalent).
• Strong organisational skills with the ability to prioritise workloads to meet competing deadlines.
• Strong multi-tasking skills and the ability to work under pressure.
• Proficient computer skills, including Microsoft Office packages.
• Excellent written and verbal communication skills.
• Ability to maintain strict confidentiality in all aspects of Clinic and patient information.
• Flexible, supportive and empathetic approach.
• Excellent numerical ability and attention to detail.
• A confident team player that demonstrates strict adherence to processes and protocols.
• Bright and intelligent who can pick things up.
• Some medical background would be useful but is not essential to the position.

Secretary/Team Secretary - Desirable Criteria:

• Ability to communicate well
• An excellent sense of humour.
• Can do attitude.
• A valid full DBS disclosure (previously CRB).

In return the Secretary/Team Secretary will receive a salary of £21,000 - £23,000 depending on experience.
