The Regional Investment Administrator is responsible for providing administrative and operational support to the Portfolio Manager in the MD Private Investment Counsel (MDPIC) office. This position contributes to maintaining high standards of client service, quality control and operational efficiency.
Duties and Responsibilities:
• Assist the Portfolio Manager in providing excellent client service and in exceeding client expectations
• Act as liaison between the Portfolio Manager, Head Office and clients with respect to general client inquiries, problem resolution and specific client circumstances
• Schedule meetings with new clients and follow up client appointments
• Prepare documentation and reports for client meeting
• Prepare client transaction requests including; deposits, withdrawals, transfers and other account related needs
• Prepare and process new account application forms including supportive documents (e.g. transfer requests, pre-authorized deposit and withdrawal forms, corporate resolutions)
• Liaise with accountants as needed to provide additional information on client's corporate accounts
• Prepare business correspondence to clients and third parties
• Confirm road trip schedule with the regional offices
• Prepare various reports for Portfolio Managers and management
• Prepare correspondence to clients including confirmation of transactions, account valuation reports, corporate fiscal tax packages, inquiries regarding outstanding information/items, new account welcome packages
• Ensure all documents are processed accurately and are updated in compliance with the MD Private Investment Counsel's Policy and Procedures manual
• Implement and maintain a follow-up system for transfer of assets, client inquiries, complaints, and problem resolution, ensuring MD Private Investment Counsel service standards are met
• Maintain client record and contact activities in the database
• Participate in the implementation of marketing initiatives for the business unit; arrange seminars including preparation of material and presentations
• Maintain high standards of administrative efficiency and internal control by overseeing daily procedures and implement changes as necessary
• Assist with Reception as needed
• Assist with monitoring the inventory of office supplies and marketing material
• Assist with ensuring office equipment and systems are maintained
• Work with other lines of business lines to arrange mutual client contact strategies
• Special short-term and ongoing projects, as required
Qualifications and Licensing Requirements:
• Community college diploma or equivalent
• Strong administrative skills
• Knowledge of the securities and financial services industry
• Strong computer skills; MS Word, Excel, PowerPoint and Outlook, knowledge of StatPro an asset
• No licensing requirements however experience in a financial services environment is preferred
