Project Coordinator

Project Coordinator


Summary of Responsibilities:

  • Support Project Managers in development of project documentation
        - Project Management (PM) plan (scope-, communication-, stakeholder-, cost-, quality management plans)
        - MS project schedules (time, resource planning, Work Breakdown Structure -WBS)
  • Maintain MS project schedules, PM plan and all other project documentation with the PM
        - Regular update with actuals (man-hours, time schedule, completion, resource availability)
  • Support PMs to prepare the input of the weekly project task list
  • Communicate regularly with the project team (and client) regarding deliverable schedules, task completion, changes, requirements, etc.
  • Organization, attendance of project meetings, occasionally writing and distributing Minutes of Meeting (MoM)
        - Internal weekly project meetings
        - Client and Supplier meetings, conference calls
        - Project Management Office (PMO) meetings
        - Follow ups with participants
  • Assistance in procurements
        - Maintaining records of Request for Quotation (RFQs), supplier quotes, Purchase Order (POs)
  • Assistance in budget controlling
       - Participate in weekly project controlling meeting
       - Provide feedback to controlling department about changes in cashflow, including man- hours
  • Assistance in Organica deliveries
       - Assembling design documentation
       - Assembling product delivery and shipping documentation
  • Various tasks during project lifetime (writing/proofreading documentation, arranging for translators, travelling to project sites to provide on-site support)
  • Travel for project support at field installations both in Hungary and internationally may be required


  • Bachelor’s degree, preferably in an Engineering discipline
  • Minimum 4 years of experience in a similar role
  • Excellent English knowledge is must
  • Additional foreign language knowledge is a plus
  • Computer proficiency with MS Office, MS Project and MS Project Server
