Description of position:    The Finance & Administration role is to ensure that our suppliers invoices are correct, which will include familiarity with the financial terms of the suppliers contracts, and working with the supplier account key personnel.

Duties:    Key Responsibilities

· Take responsibility for the processing and financial recording of our supplier invoices as directed by the Fleet Finance Team Leader/Financial Controller producing a spreadsheet record of the transactions, highlight any exceptions to the supplier and track agreed refunds within a suitable time scale

· Responsible for maintaining a complete database of 'returned' vehicles, ensuring full detail procured of each vehicle and managing the return of vehicle(s) in accordance with instructions sited on Intranet

· Responsibility for monitoring and deploying cars for availability on reallocation list

· Reconcile the invoices produced and paid to our suppliers to a monthly statement ensuring that any variances are addressed and recorded.

· Fuel invoices validated and sense checked, check retail price and what billed on fuel supplier tool

· Record any cost savings or cost avoidance as a result of the work carried out on the invoicing

· Produce monthly Business review figures and data for the Fleet Reviews as directed by Business Controls Coordinator.

· Highlight any exceptions to the leasing company and track agreed refunds within a suitable time scale

· Produce a set of audit and cost saving figures to be reported at the monthly business review

· Main contact for all outsource queries to ensure Fleet's early involvement

· Liaise and provide guidance to Business Development Team , Payroll, Procurement, line management, leasing companies and incoming acquisition company

· Work with HR, leasing company and outsource company to obtain necessary car and allowance details for loading onto Fleet databases

· For separation programmes work with HR, Leasing Company and Finance to ensure process is adapted and optimised to ensure sensitive and cost effective programme in place

Requirements, skills:    Required

• High School Diploma or Bachelor's Degree

• Minimum 1 year experience in financial field

• Excel knowledge

• English: Fluent


Auditing experience

Known languages:    Fluent English knowledge
