ICT Contract & Vendor Manager - Genève


The ICT Contract and Vendor Manager is responsible for developing, managing and controlling vendor contracts, relationships and performance to ensure the efficient delivery of contracted products and services.

This person acts as the liaison point between the ICT Unit and UEFA's Corporate Legal Services which will help ICT to meet its business objectives, minimise potential business disruption, avoid deal and delivery failure, and ensure more sustainable multi-sourcing, while deriving maximum value from its vendors.


Contract management

-Preparing standard contracts (e.g. services, maintenance and software licensing);
-Creating and maintaining standard templates for all contract types;
-Identifying and implementing an appropriate method of managing contract versions based on the value of each contract and/or the risk involved;
-Drafting specifications that incorporate the appropriate technical terms and conditions and legal aspects, ensuring that UEFA's terms and conditions are enforced at all times;
-Defining, maintaining, updating and applying the
RFP/RFQ process in a way that introduces standardisation in the unit -including templates and structures covering the issuance of RFPs, the receipt and analysis of responses, and the management of all interaction with suppliers (once this has been set up, the Supplier Manager and Solution Managers actually conduct the process, but they may require assistance from the ICT Contract and Vendor Manager);
-Creating and maintaining a database of contract status information covering all elements of the contract lifecycle, including review dates and contracts' anticipated termination;
-Identifying appropriate processes to ensure seamless liaison between the various parties involved in the creation and maintenance of contracts;
-Ensuring that UEFA's contract signature process is followed;
-Working with the purchasing team to ensure that purchase orders are issued once contracts are signed;
-Managing large agreements on the ERP platform.

Vendor Management

-Developing and maintaining internal intelligence on preferred vendors, capabilities, benchmark rates and market practices, as well as gathering input from ICT staff (e.g. the Project Coordinator);
-Maintaining an overview of vendor contracts and performance, facilitating comparison across vendors;
-Participating in and facilitating the selection of appropriate suppliers by ICT;
-Supporting other ICT functions in the negotiation of contracts with suppliers
-Developing and delivering purchase and inventory reports;
-Facilitating the establishment of RFIs/RFPs where needed
-Helping to manage relationships with suppliers to ensure the provision of the specific resources and technical skills required;
-Ensuring coordination between other ICT functions (e.g. ICT Service delivery) and suppliers, in order to reduce costs and derive maximum value from key third-party contracts;
-Working with other ICT functions to assess suppliers' performance against their service level agreements and to validate and measure contractual costs;
-Maintaining and enhancing tools used in the management of vendors' performance, including dashboards and scorecards;
-Managing non-strategic relationships with vendors (with strategic relationships managed directly by ICT management) and managing unsolicited inbound communication from vendors;
-Producing governance and compliance reports related to vendor services.


Experience required:
-from 4 to 6 years / professional experience
-from 1 to 3 years / active experience in contract and vendor management

-Bachelor's degree in business, or a relevant field
-Other Knowledge and understanding of contract and vendor management (certification is a plus)

-French Fluent
-Italian desired

-Supporting ICT governance and assisting the ICT Project Management Office (PMO) with projects and tasks as required;
-Maintaining the integrity of end-to-end governance activities so that there is clear alignment between the governance functions and the actual interpretation and tracking of the processes;
-Actively assisting ICT staff with contract activities;
-Supporting the commitment to and visibility of contract management within the ICT Unit;
-Participating in other activities, such as ICT reporting and the preparation of audit documents
