The PA performs diversified administrative tasks and special assignments in support of the Vice President’s and other department Directors according to company and department procedures while exercising a high degree of discretion and initiative.
Act as a liaison between the VP’s and other company managers and departments. This role reports to General Manager SSC.
Arrange and maintain the VP’s and directors schedule.
Maintain confidential reports and records as required including maintaining filing system for
Open, sort, process and distribute incoming correspondence, check requests and invoices
as appropriate. Include coding of check requests, purchase orders and invoices according
Arrange travel for the VP’s and Directors.
Accept and screen incoming phone calls for the VP’s as appropriate.
Conduct research and analysis projects as required.
Assist in maintaining department budgets including distribution of reports and coordinating corrections with the Accounting Department.
First point of contact for cleaning related issues / complaints; communicating annual cleaning date to employees; signing off delivered cleaning materials against the billed items
Key point of contact for company cell phone management; issue resolution
Key point of contact for placing orders for IT equippments
Liaise with on site IT support, manage printers, toners, submit printing reports
Own office furniture inventory
Coordinating replacement of broken furniture / workstations
High School Diploma or equivalent.
Experience reporting to a senior executive.
Experience Microsoft applications including: Word, Excel, and Outlook.
Dictation & shorthand would be an advantage
Ability to deal effectively with all employees and external business contacts while conveying a positive, service oriented attitude.
Ability to communicate effectively, both verbally and in writing both in English and Hungarian
Ability to maintain complete confidentiality and discretion in business relationships and exercise sound business judgment.
