Assistentin der Geschäftsleitung/Executive Assistant 100 % Feststelle (w/m) ab sofort

The position will be part of a team of 3 assistants supporting the Executive Management Team. The superior is the CEO (but it's not a personal assistant job). Due to the continuous interaction with individuals across the entire organization of diverse background and culture for a high variety of business issues, candidates must have exceptional communication skills. The ability to prioritize and manage efficiently tasks ranging from conceptual to very practical ones, occasionally under stressful conditions and with frequent interruptions. Must be pro active and energetic and capable to work independently and always with a positive attitude. Integrity and reliability are essential.

Responsibilities:
• Support and execute a broad variety of administrative tasks for the CEO and the Executive Team
• Support legal affairs: track, follow-up and provide early action regarding minutes, open topics, membership and legal requirements of Group companies boards and be responsible for archiving
• Travel booking
• Back-up and holiday replacement of CEO assistant
• Take lead organization of customer visits
• Assist the Group HR Team
• Clarify and research ad-hoc requests and cases
• Manage little projects on behalf of the Executive Team
Education
• commercial apprenticeship, executive assistant education

Know-how/working experience
• At least 4 years of experience in a similar position
• Languages: German and English fluent (written and oral), knowledge of any other language is an advantage
• Excellent knowledge of MS-Office (Word, Excel and PowerPoint)

Personal skills
• Ability to work under pressure to meet deadlines, while maintaining high quality
• Strong attention to detail
• Experience in working with highly confidential information
• Ability to anticipate issues and needs associated with agendas, travel and meeting information requirements
• Ability to work in a multi-cultural team and to cooperate with a variety of people across different functions
• Effectively work with other assistants to support the administrative needs of the members of the Executive Team
• Ability to take ownership of tasks and follow them through to completion
• Good organizational skills and ability to run multi-tasks in parallel and to prioritize own work
• Excellent communication skills, ability to work with multiple levels in the organization
• Expercience with legal affairs/contracts would be positive point
